Your weekly workflow has three phases: Before the event (create and schedule, set up registration/cards), During the event (monitor scoring, manage players, send updates), and After the event (complete the event, review results, update standings). Most directors spend 15-30 minutes per week once this workflow is established.
Phase 1: Before the Event
Creating Your Weekly Event
Timeline: Create events 1-2 weeks in advance for best player turnout
Go to League Tools β Events tab
Tap + Create new event
Choose an event template to save time

After your first event: You can duplicate any existing event for future weeks instead of starting from scratch. This copies all settings, divisions, and configurations - you just update the date. Learn how to duplicate a UDisc event.
What to configure:
Event date and time - When players can start checking in
Course and layout - Can differ from your main league course
Divisions - Which divisions will compete
Registration settings - Pre-registration on/off, player limits
Scoring rules - Start format, play format, special rules

Managing Registration
If you've enabled pre-registration for your events:
Check registration numbers:
Go to League Tools β Events tab
Select your upcoming event
View the Participants tab to see who's registered
Adjust player limits if needed:
Close registration early if you're at capacity
Extend registration deadline if you have room
Add walk-up players manually on event day
Communication tip: Send a reminder notification 1-2 days before the event to registered players from Event Tools β Send message to players.
Preparing Cards and Tee Times
For flex starts: Skip this step - players will create their own scorecards when they check in.
For shotgun starts or tee times:
Navigate to Event Tools β Cards tab
Review auto-generated cards or Create cards manually
Adjust groupings as needed (skill-based, random, requests)
Publish cards so players can see their groups

Phase 2: During the Event
Monitoring Live Scoring
Access the live leaderboard:
From the app: Events tab β Your event β Leaderboard
From desktop: League Tools β Events β Select event β Leaderboard
What to watch for:
Cards that haven't started yet (follow up with late arrivals)
Unusual scores that might need verification
Cards finishing to monitor pace of play
Managing Player Issues
Common situations you'll handle:
Late arrivals or no-shows:
If using pre-assigned cards: Remove player from card or reassign to a different group
If flex start: Player can still check in and create their own card or be added to an existing card
Player disputes or scoring questions:
Review scoring history from the Leaderboard tab in Event Tools to see all score changes. Learn more about viewing scoring history.
Access the scorecard from Event Tools
Review the disputed hole
Make corrections if needed using Edit scores
Adding walk-up players:
Go to Event Tools β Participants tab
Tap + Add player
Search for their UDisc account or add as guest
Assign to a card (if using assigned cards)
Communicating During the Event
Send updates to all checked-in players:
From the app: Tap Manage event icon (or from any scorecard)
Select Send message to players
Choose your audience:
All checked-in players
Specific division
Specific card
Type your message and send
When to send messages:
Weather updates or delays
Pace of play reminders
Lost disc announcements
Post-round gathering information

Phase 3: After the Event
Completing the Event
When to complete your event:
After all cards have finished and scores are verified
Events automatically complete 48 hours after the event end time (e.g., if your event ends at 12pm Wednesday, it auto-completes at 12pm Friday)
Manual completion is optional
How to manually complete:
Go to Event Tools β Leaderboard tab
Tap Complete event (top right)
β οΈ Important: Once completed, players cannot edit scores. Make sure all scores are accurate first!
Need to make changes after completing? You can undo completion from the Leaderboard tab by toggling Complete event back to Incomplete. This allows you to adjust scores, then re-complete the event.
What completing does:
Locks all scores (prevents further edits)
Finalizes the leaderboard
Awards standings points (if enabled)
Makes results permanent
Reviewing Final Results
Check for common issues:
Missing or incomplete cards:
Follow up with players who didn't finish
Mark DNF (Did Not Finish) if needed
Score corrections:
If you need to fix scores after completion, you'll need to update the event
Make corrections, then re-complete
Verify standings points:
Go to League Tools β Standings tab
Confirm points were awarded correctly
Communicating Results
Share results with your league
Export results:
From the Leaderboard page, tap the Export button
Or from Event Tools β Leaderboard tab, tap Actions β Export
Download the results file
Share with your league or use for records
Announce winners:
Recognize division winners and standout performances
Highlight league standings leaders
View hole-by-hole performance from the Course tab in the Leaderboard to see which holes played hardest or easiest (e.g., hole 1 avg. +0.79)
Update league standings:
Your standings automatically update when events complete
Share current standings leaders to build excitement
Remind players how many events remain

Schedule a full season at once

Duplicate events for quick scheduling

Choose the right event template

Set default divisions
Configure divisions once in League Tools β General event settings. They'll automatically apply to new events.
Batch create events
Create 4-6 weeks of events at once during the off-season or start of season. Just update dates and courses as needed.
Delegate admin tasks

Troubleshooting Common Weekly Issues
Issue: Players can't find the event
Causes: Players looking in wrong place or not using filters correctly
Solution:
Events are searchable as soon as they're created, but check-in opens at midnight on event day
Share the event quick link from Event Tools - this takes players directly to your event
Remind players to check the Events tab and filter by date/location
Issue: Scoring problems during the event
Causes: Player doesn't have UDisc account, phone issues, scorecard errors
Solution:
For players without accounts: Add them as guests from Event Tools
For scorecard errors: Access the card from Event Tools and make corrections
For sync issues: Have players close/reopen app and check internet connection
Issue: Need to make changes after event is completed
