πŸ“… Running Your Weekly League: Ongoing Operations

Master the week-to-week workflow of running your UDisc League, from creating events to post-round tasks and player communication.

Running a weekly league on UDisc is free β€” for you and your players. Here's the week-to-week workflow once your league is up and running.

Note: New to UDisc Leagues? Start with Getting Started: How to Apply for a UDisc League and Setting up your league before diving into weekly operations.

Phase 1: Before the event

Create your weekly event

Create events 1–2 weeks in advance so players can discover them.

  1. Go to League tools β†’ Events β†’ + Create new event

  2. Choose a template or duplicate a previous event

  3. Configure the date, course, divisions, and settings

  4. Tap Create event

Schedule your entire season at once

Both the Casual sign up and Formal sign up templates support recurrence β€” you can schedule your entire season when creating an event. Set the recurrence to weekly and choose your date range, and all events are created in one go.

Share your event

Once created, share your event quick link so players can find it easily.

  1. Go to the Events tab in League tools

  2. Select your event

  3. Tap View/share event quick link

Share the link on social media, in group chats, or print the QR code for the course notice board. Players can also find your event by searching the Events tab in UDisc.

Manage registration (if enabled)

Check your participant numbers from League tools β†’ Events β†’ select event β†’ Participants tab. Adjust registration as needed β€” close early if at capacity, extend the deadline if there's room, or send reminders 1–2 days before. See How do I send communications to players?

Prepare cards

For flex starts: Skip this β€” players create their own cards.

For shotgun or tee time events:

  1. Go to Event tools β†’ Cards tab

  2. Create or review auto-generated cards

  3. Publish cards

Phase 2: During the event

Monitor live scoring

Access the leaderboard from the app (Events β†’ your event β†’ Leaderboard) or on the web (League tools β†’ Events β†’ select event β†’ Leaderboard). Watch for cards that haven't started, unusual scores, or pace of play issues.

Manage player issues

Late arrivals or no-shows: For pre-assigned cards, remove or reassign players. For flex start, players can check in and create their own card or join an existing one.

Add walk-ups: In the app, find your event, tap Manage event β†’ Participants β†’ + Add player.

Move a player to a different card:

  • Before cards are published: Go to League tools β†’ Events β†’ your event β†’ Cards on the web, or Events β†’ your event β†’ Manage event β†’ Cards & Leaderboard β†’ Cards in the app.

  • After cards are published: Go to League tools β†’ Events β†’ your event β†’ Leaderboard on the web, or Events β†’ your event β†’ Manage event β†’ Cards & Leaderboard β†’ Leaderboard in the app.

From either view, tap the 3-dot menu on a card β†’ Move players to this card, or tap the pencil icon next to a player's name β†’ Move to card.

Scoring questions: Review scoring history from the Leaderboard tab β€” tap the 3-dot menu on a card β†’ View scoring history. Edit scores if needed. See How can I adjust players' scores for an event?

Communicate during the event

  1. Tap Manage event

  2. Tap Send message to players

  3. Choose your audience β€” all players, a specific division, or a specific card

Use this for weather updates, pace reminders, or announcements. See How do I send communications to players?

Phase 3: After the event

Complete the event

Events auto-complete 48 hours after the event end time. To complete manually, go to Event tools β†’ Leaderboard β†’ Complete event.

Note: Once completed, players can't edit scores. Verify everything first. If you need to make changes, toggle back to Incomplete, edit, then re-complete β€” standings recalculate automatically.

Review results

Check for missing or incomplete cards, any score corrections needed, and that standings points were awarded correctly. See How can I adjust players' scores for an event?

Export and share results

Leaderboards are live and accessible to all players during and after the round. To export for your records, go to Leaderboard β†’ Export or Event tools β†’ Leaderboard β†’ Actions β†’ Export. See How can I export results after an event finishes?
