πŸ† How should I create an event-specific layout in UDisc?

Create custom Smart Layouts for your UDisc League or Event, including temporary tee positions, adjusted hole orders, or unique pin placements. These layouts are automatically enabled for your event dates and hidden afterward.

Audience: League and Event Organizers | Level: Intermediate | Requires: Event or League created in UDisc

Quick Answer

Access your Event or League admin tools, navigate to the Caddie book layouts tab, then use the Layout Builder to create your custom layout. Choose whether your layout should stay fixed or update with basket moves, then configure each hole using either the interactive map or dropdown menus.

When to Create an Event-Specific Layout

Create an event-specific layout when you need to:

  • Add temporary tee pads or pin positions

  • Play an abnormal number of holes (not the standard layout)

  • Mix up the hole order for tournament play

  • Use safari or alternate fairways

  • Create a unique configuration for a special event

Step 1: Access the Layout Builder

From Event Tools:

  1. Open your Event admin tools

  2. Select Caddie book layouts from the menu on the left

  3. Tap Create event layout

Note: If you don't see the Caddie book layouts tab, make sure you have your Event admin tools open (not just viewing the event page).

From League Tools:

  1. Open your League tools and tap Events

  2. Select your event and tap Edit

  3. Tap Missing a layout? Add it here

Important: If you're creating a Casual League event, you can create the layout from League tools, but you cannot edit it later unless you convert your event to an Advanced Event first. Once converted to an Advanced Event, you can edit layouts from the Event tools Caddie book layouts tab.

While Creating a New Event:

When selecting the layout during event creation, if the layout you need isn't available, tap Missing a layout? Add it here to open the Layout Builder.

Step 2: Configure Layout Details

Enter the basic information for your layout:

  • Layout name - Give it a clear, descriptive name

  • Caddie book intro - Add introductory text for players

  • Number of holes - Specify how many holes this layout includes

  • Associated event - Link it to your specific event

  • When is the layout playable? - Set the start date when this layout becomes visible to players

  • When is the layout no longer playable? - Set the end date when this layout will be automatically hidden

  • Layout notes - Add any additional information

Note: The layout will only be visible to players between the playable dates you set. After the end date, the layout is automatically hidden but remains saved in your tools for future use.

Step 3: Choose How Your Layout Updates

This is an important decision about how your layout behaves:

Choose a specific basket position (Recommended for Events)

What this means: Your layout will always play to the exact positions you select, no matter what. Even if a Course Ambassador updates the course listing to show a basket has physically moved, your event layout will NOT change.

Best for:

  • Tournament layouts that must stay exactly as planned

  • Events where you need guaranteed consistency

  • Any time you're setting temporary positions

Follow the basket

What this means: Your layout will automatically update if a Course Ambassador marks that a basket has moved on the course. The layout stays in sync with the current course configuration.

Best for:

  • Casual leagues using standard basket positions

  • Long-running weekly events that should match course changes

  • When you want to benefit from Course Ambassador updates

Step 4: Choose Your Building Method

One hole at a time (Use the interactive map)

How it works: You'll navigate through each hole using the visual course map, tapping directly on tees, targets, and fairways to select them.

Best for:

  • Changing the hole order

  • Adding safari fairways (playing unusual tee-to-target combinations)

  • Creating temporary tee or target positions

  • Complex layouts where you need to see the map for each hole

All at once (Use dropdown menus)

How it works: You'll see a summary page with dropdown menus for each hole, allowing you to quickly select tees and targets without viewing the map.

Best for:

  • Simple layouts using existing positions

  • Quickly selecting standard tee and target combinations

  • When you already know which positions you want for each hole

Step 5: Build Your Layout

If Using "One Hole at a Time":

  1. Starting with hole 1, tap on the map to select:

    • The tee position you want to use

    • The target (basket) position you want to use

    • The fairway connecting them

  2. Set hole details:

    • Enter hole notes that players need to see

    • Override the par if needed

    • Adjust any other hole-specific settings

  3. Tap Done with hole 1

  4. Repeat for each hole on the layout

  5. On the Summary screen, review everything

  6. Tap Publish layout

Fast track option: If most holes use the same tee and target positions, you can set these as defaults first. You'll still be able to adjust individual holes that are different.

If Using "All at Once":

  1. On the Summary screen, use the dropdown menus to select the tee and target for each hole

  2. Fast track option: Use the button at the top to set all holes to the same positions at once, then adjust exceptions

  3. Expand any hole to set par, hole notes, and other details

  4. Review everything

  5. Tap Publish layout

Step 6: Share Your Caddie Book

Once published, your virtual Caddie Book is ready to share with players!

What's included in the Caddie Book:

  • Your introduction text

  • Layout and hole notes for each hole

  • The complete layout map

How to share:

  1. Open the layout from the event listing

  2. Tap Caddie Book

  3. Tap the Share button

  4. Send the link to your players so they know what to expect

Where Event-Specific Layouts Appear

During your event:

  • The layout appears in the course's available layouts list

  • Players can select it when starting a round

  • It's automatically assigned to scorecards for your event

After your event ends:

  • The layout is automatically hidden from the public course listings

  • The layout remains saved in your tools and can be reused for future events

  • You can re-enable it anytime by associating it with another event

Common Questions

Q: Can I edit my layout after publishing it? A: Yes! You can edit published layouts at any time. See how to edit an existing Smart Layout from Course Tools as a Course Ambassador. Or see above for how to edit a layout from Event Tools.

Q: What happens if I choose "Follow the basket" and a basket moves during my event? A: Layouts are locked once your event begins and will not change during the event. However, if you choose "Follow the basket" and a Course Ambassador updates a basket position before your event starts, your layout will automatically update to match the new position. If you want to guarantee your layout never changes (even before the event), use "Choose a specific basket position" instead.

Q: Can I use this layout for multiple events? A: Yes! Once created, you can associate the same layout with multiple events by editing the layout's availability dates or selecting it when creating new events.

Q: I don't see the "Caddie book layouts" tab. Where is it? A: Make sure you have your Event admin tools open (tap "Manage" on your event). The Caddie book layouts tab is only available for Advanced Events. If you're working with a Casual League event, you'll need to convert it to an Advanced Event first to access this tab.

Q: Why can't I edit my layout from League tools? A: Casual League events allow layout creation but not editing from League tools. To edit a layout for a Casual League event, you must first convert it to an Advanced Event, then access the layout through Event tools on the Caddie book layouts tab.
